Suggested Language for Committing to the HPV Challenge Program
What follows is "suggested language" that sponsors can use in crafting a letter of commitment. Sponsors should feel free to adopt this language where it is useful, and to change and adapt it to their particular circumstances.
For an individual company:
The ABC Company agrees to participate in the HPV Challenge Program by sponsoring ## chemicals, as [listed below][included on the enclosed list]; any testing needed for these chemicals will be initiated by the date indicated. We recognize that sponsorship entails: assembling and reviewing available test data, developing and providing test plans for each of the sponsored chemicals, and, where needed, conducting additional testing in the time frame established by the Challenge Program. The information and data we provide under the HPV Challenge Program will be made publicly available. Dr. __________ is our technical contact; she can be reached at [phone number and other contact information].
From each company in a consortium:
The ABC Company agrees to participate in the HPV Challenge Program as a member
of the XYZ Testing Group (XYZ). ABC Company is sponsoring, along with other
members of XYZ, ## chemicals, as [listed below][included on the enclosed
list]; any testing needed for these chemicals will be initiated by the date
indicated. We recognize that sponsorship entails: assembling and reviewing
available test data, developing and providing test plans for each of the sponsored chemicals, and, where needed, conducting additional testing in the time frame established by the Challenge Program. The information and data we provide under the HPV Challenge Program will be made publicly available. Mr. _________ is our technical contact; he can be reached at [phone number and other contact information].
From a consortium/trade group:
The XYZ Testing Group (XYZ) will serve as an industry consortium to coordinate testing activities for twelve chemicals under the HPV Challenge Program, as [listed below][included on the enclosed list], along with dates by which any needed testing will begin. Nine companies are current members of XYZ as listed below, and each company will provide a commitment letter to the HPV Challenge Program. XYZ and its member companies understand that sponsorship entails: assembling and reviewing available test data, developing and providing test plans for each of the sponsored chemicals, and, where needed, conducting additional testing in the time frame established by the Challenge Program. The information and data we provide under the HPV Challenge Program will be made publicly available. Ms. __________ is XYZ's technical contact; she can be reached at [phone number and other contact information].
"Mixed bag" commitment language
The ABC Company agrees to participate in the HPV Challenge Program. ABC will sponsor a total of 21 chemicals as follows: 6 will be sponsored by ABC; 8 will be sponsored through ABC's participation in the XYZ Testing Group (XYZ); and 7 as a member of the AAA Testing Group (AAA). The 21 chemicals are listed below, along with dates that any needed testing will be initiated and relationships to testing consortia. Dr.__________ is our technical contact; he can be reached at [phone number and other contact information].
Interim letters of commitment
In the event that a company or organization cannot quickly confirm the details of its sponsorship, but is philosophically committed to ensure that testing is completed, an Interim Response may be appropriate:
The ABC Company agrees to participate in the HPV Challenge Program. We are currently assessing the status of substances we manufacture or import, and will provide a follow-up letter shortly that will include a list of our sponsored chemicals along with a schedule for testing. Dr. _________ is our technical contact; she can be reached at [phone number and other contact
information].
